Event Promotion Guidelines

How to Promote Your Campus Event 

HPU hosts a wide range of internal events—from lectures and workshops to community gatherings and student activities. To help ensure timely, consistent promotion (and to keep things moving quickly), we’ve shifted to a more self‑service model for internally facing platforms.  

Below is a simple guide to the primary channels available to HPU faculty & staff, along with what’s needed for each.

Social Media

  • We publish a campus events roundup every Tuesday on our main Instagram and Facebook feeds, if there’s a critical mass of events to share. 
  • Deadline is Wednesday 5 p.m. for the following Tuesday’s post. 
  • To be included, submit your request and your square image (minimum 1200 × 1200 pixels, png or jpg) below.

 ʻOhana Newsletter 

  • Your event can be included in the weekly ʻOhana email newsletter, which goes to faculty, staff, and students on Tuesday afternoons. 
  • Deadline is Wednesday 5 p.m. for the following Tuesday’s email blast. 
  • To be included, send a short blurb (2–3 sentences) below.

Digital Monitors 

  • Campus-wide digital monitors require a horizontal graphic (1920 × 1080 pixels, either a jpg, png, or PDF). 
  • For the best impact, keep copy brief (~20 words) and add a QR code to link to more details. Content that is “evergreen” will be scheduled for a 6-week run before it is rotated out.  
  • Submit your graphic below.

Faculty and staff can further promote their events via:  

HPU.edu Events Calendar 

  • Post your event directly to the HPU.edu events calendar. If you have Cascade access, you can post to the calendar! 

Piliana 

  • Departments can post events directly to Piliana using their existing access. 
  • This is a great channel for reaching students where they already are. 

Sharky's Swells 

  • Submit your event for possible inclusion in the weekly student events email via this form. 
  • The Office of Student Engagement reserves the final judgment for which events to feature in each issue. 
  • Deadline to submit is noon on the Wednesday prior to the Friday 5 p.m. email blast. 

A Note on Marketing Support

For most internal events, the options above should provide strong visibility across campus. Marketing & Communications may provide additional support (including flyers/posters) for select flagship events, such as: 

  • HPU Talks 
  • Research on Tap 
  • Major institution-wide initiatives
